Microsoft Migration

All employees will have access to Microsoft Office products (Word, Excel, PowerPoint, etc.) and the communication, collaboration and storage apps in Microsoft 365, such as Teams and OneDrive. The software will unify our community on one, feature-rich platform. Everyone at Gage will create, communicate and collaborate with the apps in Microsoft 365 (Quick Start Guides).

Gmail to Microsoft Outlook

BKS will migrate all your email from Gmail to Microsoft Office. This process will happen in the background and will not affect your daily work. Once the migration is complete, we will transition to using Outlook. The current switch-over date is November 25, 2024 (see full timeline).

After the migration, you will need to readd any recurring meetings and readd any email rules or filters. If you use Gmail Labels, any emails with multiple labels will result in duplicates during the migration. We can scan and identify these after migration.

Google Drive to Microsoft OneDrive

If you have files stored in Google Workspace, BKS will migrate files to OneDrive in Microsoft 365 beginning in early December. Most files will migrate from Google Drive to OneDrive and the file extension will change so that you can use the files in Microsoft (For example, a .gdoc will convert to the Word format, .docx). Staff will receive email notifications when their migration begins. They can resume their work in 365 on files previously stored in Google once they receive the all-clear from BKS. BKS will migrate your files from your Google Workspace account to your 365 account.

Files that are stored in services outside of your Drive storage, like Google Photos, will not migrate and some features, such as links and sharing permissions, will not continue. Please review what data will migrate: File Migration: What will and won’t migrate

Shared files: Files that have been shared with you from another user’s MyDrive will need to be reshared with you. The same is true for files from your MyDrive that you have shared with others. It may prove useful to create a record of the files shared with you. Be sure to request access once again to these files from the file’s owner once the migration has completed.

BKS will migrate: Your Google Docs, Sheets and Slides to Microsoft 365.

Google’s proprietary formats aren’t compatible with anything other than a Google Workspace Drive. When migrating from Google Workspace, files will be converted to their equivalent Microsoft Office format.

Metadata

The “Created” date of files migrated into Microsoft will reflect the date the file was migrated from Google. However, the “Modified” date will remain accurate.

Hyperlinks to other Google Docs

If your Google Doc, Sheet, or Slides contain hyperlinks to other documents in your Google Drive, these will need to be changed to the new document’s location in OneDrive or SharePoint. Users will need to open the migrated document and edit the hyperlink to point to the appropriate document in OneDrive or SharePoint.
